1. The Short Version

  • We collect what we need to analyze your film: your name and email, your team or school and jersey number, the film you upload, and the stats we generate from it
  • We use it to run the Service and to improve the AI models behind it. Film used for model training is anonymized first
  • We never sell your data, and we do not share it with anyone outside Avais for their own purposes
  • You can ask us to delete your data or close your account at any time. Parents and guardians can do the same for a child under 13

2. Who We Are

Avais LLC is a Washington State limited liability company that operates the Avais platform at avais.ai. In this policy, “Avais,” “we,” “us,” and “our” mean Avais LLC. We are the controller of the personal information described here.

This policy explains what we collect, why, who we share it with, and how to get it deleted. It applies to the Avais website and app. Your use of the Service is also governed by our Terms of Service.

3. What We Collect

Account information. Your name, email address, username, and date of birth. If you sign in with Google, we receive your name, email, and profile photo from Google.

Player information. Your role (coach, athlete, or parent), your team or school affiliation, and your jersey number. These are the details we need to find you in film and label your stats correctly.

Uploaded film. The game and practice video you upload, along with anything derived from it: clips, thumbnails, and the cropped player images used to identify who is who.

Performance and tracking data. The statistics and tracking data our analysis produces: plays, outcomes, positions and movement on the court, and the reports and visualizations built from them.

Payment information. Handled by our payment processor. We receive your subscription status, plan, and billing history, not your full card number.

Guardian information. For an account belonging to a child under 13, the name and email of the parent or legal guardian who gave consent, and a record of when they gave it.

Usage and device data. Basic information about how the Service is used, such as pages visited, features used, and browser and device type, collected through analytics. See Section 14.

4. How We Use It

In short · Two things only: running Avais for you, and making the AI better. Nothing else.

We use your information solely to:

  • Analyze your film and generate your stats, reports, clips, and visualizations
  • Identify which player is which in the film, so the right stats reach the right athlete
  • Power Coach ACE with the context of your games
  • Run your account: sign-in, teams, sharing, subscription, and support
  • Send you account and service emails, and product updates you can unsubscribe from
  • Keep the Service secure, prevent abuse, and meet our legal obligations
  • Improve the Avais AI models, in the anonymized way described next

We do not use your information for advertising, and we do not build advertising profiles.

5. Using Film to Improve Our AI

In short · We learn from film to make the analysis better, but it is stripped of who it belongs to first.

Avais gets better at recognizing plays, tracking players, and calling stats by learning from real volleyball footage. Film may be used for that purpose, and when it is, it is anonymized first: we remove the identifiers that tie it to a person or an account (names, usernames, jersey numbers, team and school affiliation, and account IDs), so the material used for training is not linked back to you.

Training happens inside Avais, on our own infrastructure and the GPU compute we rent for it (see Section 7). We do not license or sell film or training data to anyone else.

If you would rather your film not be used to improve our models at all, email support@avais.ai and we will exclude it.

6. We Do Not Sell Your Data

We have never sold personal information and we do not share it with third parties for their own purposes. Your film, your stats, and your account details are not a product we trade. No data brokers, no advertisers, no resale of film or training data.

Your information leaves Avais in only three situations:

  • Service providers. The vendors listed in Section 7, which process data on our behalf, under contract, and only to do the job we hired them for
  • People you share with. If you join a team, share a game, or make a profile visible to scouts, the people you shared with can see what you shared. You control this
  • Legal requirements. If we are required by law, subpoena, or court order, or where disclosure is necessary to protect someone’s safety or our legal rights

If Avais is ever acquired or merges with another company, your information could transfer as part of that business. If that happens, we will tell you before it takes effect, and the new owner will be bound by this policy until you are given notice of a change.

7. Service Providers We Use

In short · Some outside companies help us run Avais. They get only what they need, they are under contract, and they cannot use it for themselves.

We are a small company, and like every software company we rely on outside providers for infrastructure. They act as our processors, working on our instructions. We disclose them by category:

  • Cloud storage and hosting providers: To store and process the video you upload, and to run the Avais website and app
  • AI and infrastructure providers: To power certain product features, including automated film analysis, player tracking, and the AI coaching assistant
  • Payment processing providers: To take payment for paid subscriptions and manage billing. They receive your payment details directly, and we never see or store your full card number
  • Email and communications providers: To send account emails and, if you have not unsubscribed, product and marketing emails
  • Analytics providers: To measure aggregate usage, so we can see which features get used

These conditions apply to every category above, without exception.

  • Each provider receives only the minimum data needed to perform its function, never your full record because it was convenient to send
  • Each is contractually bound to protect that data and to keep it confidential and secure
  • Each is prohibited from selling it, sharing it onward, or using it for its own purposes, including its own advertising or product development

If you want to know where a specific piece of your data lives, or you are exercising a data access right and need the detail, ask us at support@avais.ai and we will tell you.

8. Film Uploaded for Another Player

Coaches, players, and parents or guardians can all upload film on behalf of a player, so information about you may reach Avais from someone else, usually your coach or a parent.

When that happens, this policy still governs how we treat it. The player, or their parent or guardian, can contact us at support@avais.ai to see what we hold about them, correct it, or have it deleted, whether or not they are the one who created the account. Whoever uploads film is responsible for having permission to do so, as described in the Terms of Service.

9. Children Under 13

In short · Under-13 accounts need a parent or guardian’s permission, and that guardian stays in control of the child’s data.

Volleyball players are often young, and we designed for that. Anyone under 13 may use Avais only with verifiable consent from a parent or legal guardian.

At account creation we ask for a date of birth. If it shows the player is under 13, we require the parent or legal guardian to provide their name and email and to check a box confirming that they are the parent or legal guardian and that they give permission for Avais to collect and use their child’s information as described in this policy. We record that consent with the account.

We collect from a child only what the Service needs (name, team or school, jersey number, film, and the stats generated from it), and we use it only to provide the Service and, in anonymized form, to improve our models. We do not condition a child’s participation on disclosing more than is reasonably necessary, and we do not use children’s information for advertising.

At any time, a parent or legal guardian may email support@avais.ai to:

  • Review the personal information we hold about their child
  • Request that it be deleted, including the film and the account itself
  • Refuse to allow us to collect or use anything further

Ask from the email address on the consent record and we will act on it. If we discover we have collected information from a child under 13 without this consent, we delete it.

10. How Long We Keep Your Data

By default we keep your account information, film, and stats for as long as your account exists, so your film library and season history stay available to you. We do not delete your data on a timer.

When you ask us to delete something, or close your account, we delete it. A few narrow exceptions survive: billing and tax records we are required to keep, backups that roll off on their normal cycle, and anonymized material already incorporated into a trained AI model, which cannot be extracted from that model.

11. Deleting Your Data and Closing Your Account

You can ask us to delete your data at any time.

Email support@avais.ai and tell us what you want removed: a single game, all your film, or the whole account. Parents and guardians can make the same request for a child under 13. We will confirm when it is done.

You can terminate your account at any time on request, and there is no charge or waiting period for doing so. If you would like a copy of your data first, say so in the same email and we will send it to you.

12. Your Privacy Rights

Wherever you live, you can ask us to:

  • Access the personal information we hold about you, and get a copy of it
  • Correct anything that is wrong
  • Delete your information, or close your account entirely
  • Stop using your film to improve our models
  • Object to or restrict certain processing, and opt out of marketing email

Depending on where you live, you may have additional rights, for example under the Washington My Health My Data Act, the California Consumer Privacy Act, or the GDPR. These can include the right to data portability and the right not to be discriminated against for exercising them. We honor these requests for everyone, not only where the law requires it.

To make a request, email support@avais.ai from the address on your account. We will respond within 30 days. If you are unhappy with our response, you may complain to your local data protection authority.

13. How We Protect Your Data

We use industry-standard protections: encrypted connections (HTTPS) everywhere, encrypted storage for film, access controls that limit who inside Avais can reach what, and per-user database rules that keep one account from reading another’s data.

Because film contains identifiable athletes, some of them minors, we restrict GPU processing to vetted datacenter hosts and record which machine handled which video. Rented compute never runs on the open marketplace.

No system is perfectly secure, and we will not pretend otherwise. If a breach affects your personal information, we will notify you and the relevant authorities as required by law.

14. Cookies and Analytics

We use cookies to keep you signed in and to remember your preferences, and an analytics provider to understand which features get used. Full detail is in our Cookie Policy.

15. Changes to This Policy

We may update this policy as the Service changes. If a change is material, particularly one that affects how we use film or children’s information, we will notify you by email or in the app before it takes effect, and where the law requires it we will ask for consent again. The “Last updated” date at the top of this page always reflects the current version.
